The best sheet for address labels

Recipient address labels for letters and cards, printed from a list: the job the 30-up 1″ × 2 5/8″ sheet was made for. Avery 5160 puts 30 labels on one US Letter sheet in 3 columns and 10 rows, which is why it is the default for address labels here.

Each label is 2 5/8″ (66.7 mm) wide and 1″ (25.4 mm) tall, with a 1/2″ (12.7 mm) top margin and a 3/16″ (4.8 mm) side margin on the sheet. The longest line of the first sample row, “Springfield, IL 62704”, has 21 characters; at 10 pt one label holds about 5 lines of 36 characters, at 8 pt about 6 lines of 45.

Compared with 5160: Avery 8160 has the same label area and the same count per sheet, Avery 5161 has 1.5× the label area and 20 instead of 30 labels per sheet, Avery 5162 has 2× the label area and 14 instead of 30 labels per sheet and Avery L7160 has 1.4× the label area and 21 instead of 30 labels per sheet. Pick the larger labels when your letters need bigger type, the smaller ones when you print many.

Wording ideas for address labels

Sample text you can paste into the designer; keep each line short enough for a 1″ × 2 5/8″ label.

Tips for printing address labels

  • Keep one column per address part in your spreadsheet; it makes merge placeholders like {City} obvious.
  • Left-aligned text reads best for addresses; centring is for decorative labels.
  • USPS addressing guidance (Publication 28) recommends capital letters without punctuation for machine sorting; mixed-case addresses are still delivered.
  • Print at 100 % (actual size) in the print dialog; “fit to page” shrinks the sheet and the labels drift.

How many sheets for your letters

One label per letter. For 100 letters on Avery 5160 you need 4 sheets and 20 labels stay blank for next time (use the start position to skip them later).

Frequently asked questions

What size are address labels?

LabelGrid's default for address labels is 1″ × 2 5/8″ (Avery 5160, 30 per sheet). Other sheets that fit: Avery 8160 at 1″ × 2 5/8″ (same size, different code), Avery 5161 at 1″ × 4″, Avery 5162 at 1 1/3″ × 4″ and Avery L7160 at 63.5 × 38.1 mm.

How many address labels fit on one sheet?

30 on Avery 5160, 30 on Avery 8160, 20 on Avery 5161, 14 on Avery 5162 and 21 on Avery L7160. For 300 letters at 1 label each you need 10 sheets of Avery 5160.

Can I print address labels from a spreadsheet list?

Yes. Switch the designer to merge mode, paste your rows with a header (Name, Street, City, State and ZIP) and each row becomes one label; placeholders like {Name} pull the values in. The free version prints one full sheet per list.

Why do my address labels print out of line?

Check the print dialog first: “fit to page” or any scale other than 100 % shrinks the sheet, and the labels drift. Choose “Actual size” or 100 % scale, the right paper (US Letter) and no “fit to page”. If every label is off by the same amount, use the printer offset in the designer to nudge the whole sheet.
