How mail merge works here

Choose One label per row (mail merge) and paste your list straight from Excel, Google Sheets, Numbers or a comma-separated text file. The tool detects tabs, commas, semicolons and quoted fields on its own, and treats the first row as column names when it looks like one (Name, Street, City…). Each remaining row becomes one label, in the order of your list, filling the sheet left to right and top to bottom like Word and Avery do.

Instead of pasting you can press Open a file and pick a .csv or .txt export; files saved by Excel on Windows in the older Western encoding keep their accents. With Pro, an Excel .xlsx workbook opens directly: the first worksheet becomes the list, ZIP codes formatted as 00000 keep their leading zero, and dates are flagged because Excel stores them as day numbers. When the column names look like an address list (First Name, Last Name, Address, City, State, Zip and similar), the label layout is filled in from them, so the preview shows your own addresses at once.

Rows with an empty column close up: if a contact has no second address line, that line is dropped instead of leaving a gap. When the list is longer than a sheet, the status line tells you how many sheets the whole job needs; the free PDF holds the first full sheet and Pro puts every row in one file.

Column placeholders

Type a column name in curly braces to pull its value: {Name} on the first line, {Street} on the second and {City}, {State} {ZIP} on the third gives a classic US address label. Names are not case-sensitive, and a placeholder without a matching column prints empty (the status line warns you). Click a column chip under the paste box to insert it at the cursor. Plain text mixes freely with placeholders, so “Happy holidays, {First}!” works too.

Print at 100 %, on the right paper

The PDF uses the sheet's own paper size: US Letter (8.5 × 11 in), A4 (210 × 297 mm), A5 (148 × 210 mm) or A6 (105 × 148 mm). Every label sits where the gLabels template database places it; 114 sheets, the most-used codes among them, are also checked against the manufacturer's published size. In the print dialog choose Actual size or 100%; “Fit to page” shrinks the page by a few percent and the text creeps off the labels towards the bottom. Printing a Letter sheet on A4 paper (or the other way round) shifts everything too, so match the paper setting to the sheet.

Alignment test and printer offset

Before using an expensive sheet, download the alignment test sheet and print it on plain paper. It draws every label outline with its number, plus a 1-inch and a 25 mm ruler: if a ruler measures short, the printer is still scaling. Hold the test page over a label sheet against a window. If all outlines are off by the same amount, enter that shift under Printer offset (positive values move everything right or down, in millimetres) and the next PDF is nudged to match your printer.

The blank template PDF of each sheet is a static file with the label outlines and the size printed in the margin, handy if you design in another program and only need the layout.

Frequently asked questions

Is this label maker really free?

Yes. Designing labels, mail merge from pasted rows, the blank templates and the alignment test sheet are free with no account. The free PDF holds one full sheet and carries a small “Made with LabelGrid” line in the sheet margin, never on a label. Pro ($19 one-time) adds unlimited mail merge rows and sheets, open .xlsx files directly, qR codes and Code 128 barcodes, serial numbering, your logo or image on every label, saved designs, saved printer calibration and no credit line.

Why are my labels printing out of line?

Almost always because the print dialog scaled the page. Choose “Actual size” or “100%” instead of “Fit to page”, and check that the paper size matches the sheet (US Letter for Avery 5160, A4 for L7160). If labels still drift by the same amount everywhere, print the alignment test sheet and enter the shift as a printer offset.

How do I print addresses from a spreadsheet?

Switch to “One label per row”, copy the rows from Excel, Google Sheets or Numbers with the header row, and paste them (or open a .csv file; Pro opens .xlsx workbooks directly). The column names become placeholders such as {Name} or {City}. When your columns look like an address list, the label layout is filled in for you; edit it freely, and every row becomes one label.

Does my address list leave my computer?

No. The preview and the PDF are made in your browser. Pasted rows are never uploaded and are not part of the share link; only the sheet and the design are.

Can I reuse a partly used sheet?

Yes. Click the first free label in the preview (or set “Start at label”). Labels before it are marked as used and stay blank in the PDF, so the remaining labels of the sheet line up.

Which label sheets are supported?

905 sheets from 43 brands: 637 on US Letter, 266 on A4, 1 on A5 and 1 on A6, from Avery 5160 address labels to round, oval and CD labels. Geometry comes from the open gLabels template database (MIT licence). LabelGrid is not affiliated with Avery or any label brand.
