How to print Avery® 5395 labels in Apple Pages

Avery 5395 in Apple Pages, step by step

  1. Fastest: print an aligned PDF

Pages does not ship an Avery 5395 template. Make the 5395 labels in the designer at the top of this page, download the PDF and print it from Preview with Scale set to 100 %.

  2. Set up the document

To build the 5395 layout in Pages, create a Blank word-processing document. In the Document sidebar choose US Letter paper, turn off header and footer, and set the document margins: top 0.563 in, bottom 0, left 0.688 in, right 0.688 in. The bottom margin stays at 0 on purpose: the 7 table rows already place every label, and the empty paragraph that always follows a table then fits in the 0.543 in below the last row instead of starting a blank second page.

  3. Add a 3-column table

Click Table in the toolbar, then give the 5395 grid 3 columns and 7 rows (use the handles at the table's edges or the Table menu) and set header and footer rows to none in the Table tab of the Format sidebar; the even columns are spacers between the 2 label columns.

  4. Enter the exact sizes

Select the columns, then in the Format sidebar's Table tab, under Row & Column Size, set the widths to 3.375 in, 0.375 in, 3.375 in and the row height to 2.333 in for label rows and 0.187 in for the spacer rows between them. Turn the table outline and gridlines off in the same tab.

  5. Fill the 8 cells

Type into each cell (about 13 lines at 10 pt fit) and copy finished cells to the other 5395 positions. For address lists, the macOS Contacts app can also print mailing labels from a contact group with Avery layouts in its print dialog.

  6. Print 5395 at 100 %

File › Print with US Letter paper and 100 % scaling; on a plain-paper test the 2 columns of 5395 should start 0.688 in from the left edge.

Worked example: 80 name badge labels on 5395

One Pages table holds 8 Avery 5395 labels, so 80 labels need 10 pages: duplicate the page with the table 9 times. Check that each copy still starts 0.563 in from the top.

In the LabelGrid designer the same 80 rows go into merge mode; the free version prints the first 8 (one full 5395 sheet) and Pro removes the limit. To reuse a part-used sheet, set the start position to the first empty label.

Column widths 3.375 in, 0.375 in, 3.375 in

Paper Letter (8.5 × 11 in)

When 5395 labels print out of line in Apple Pages

  • The 5395 table grows past the page: a cell has more text than its 2.333 in height allows; Pages enlarges the row instead of clipping, so cut a line or shrink the type.
  • Preview prints the PDF smaller than the 5395 sheet: in the print dialog choose Scale 100 % instead of “Scale to fit”.
  • Text cut off on the first or last 5395 row: many printers leave about 1/4″ (6 mm) unprinted, and 5395 has 0.563 in at the top and 0.543 in at the bottom, so keep Apple Pages text 0.063 in inside each label.

About the Avery 5395 sheet

Avery® 5395 (name badge labels) has 8 labels of 2 1/3″ × 3 3/8″ per US Letter sheet. The same layout is sold under other Avery codes too (5095, 5895, 8395 and 15395), so these settings work for them as well.

Common jobs for 5395: Thanksgiving labels, Christmas gift tag labels, name badge labels, name tag labels and classroom labels. Avery® 5395 is named only to identify compatible sheets; LabelGrid is not affiliated with Avery.
