Avery 5395 in Google Docs, step by step

  1. Fastest: use an aligned PDF

Google Docs has no built-in Avery 5395 layout. Type your text or paste your rows in the designer at the top of this page and download a PDF already aligned to the 8 positions of the 5395 sheet; open it and print at 100 %.

  2. Set up the page in Docs

To build the 5395 layout in Docs, open a blank document and go to File › Page setup: paper size US Letter, margins top 0.563 in, bottom 0, left 0.688 in, right 0.688 in. The bottom margin stays at 0 on purpose: the 7 table rows already place every label, and the empty paragraph that always follows a table then fits in the 0.543 in below the last row instead of starting a blank second page.

  3. Insert a 3 × 7 table

Use Insert › Table and draw the 5395 grid as 3 columns by 7 rows (2 label columns plus 1 narrow gap columns).

  4. Size the cells exactly

Select the 5395 table and open Format › Table › Table properties (called Table options in newer versions). Column widths: 3.375 in, 0.375 in, 3.375 in. Minimum row height: 2.333 in for label rows and 0.187 in for the spacer rows between them. Set cell padding to 0 and the table border to 0 pt so each 5395 cell is exactly one label.

  5. Type within the label

Keep each cell to about 13 lines at 10 pt; Docs grows a row when text overflows and every 5395 label below it shifts down, and the last row can then push onto a second page.

  6. Lists from Google Sheets

Docs cannot merge a spreadsheet into the 5395 table by itself; label add-ons exist in the Google Workspace Marketplace, or paste the rows from Sheets into LabelGrid's merge mode above.

  7. Print 5395 at 100 %

Use File › Print or download a PDF, set US Letter paper and 100 % scale (not “fit to page”), and check a plain-paper test: the first 5395 row starts 0.563 in from the top.

Worked example: 80 name badge labels on 5395

One Docs table holds 8 Avery 5395 labels, so 80 labels need the finished table copied onto 10 pages. Paste a page break before each copy so every table starts at the top margin of 0.563 in.

In the LabelGrid designer the same 80 rows go into merge mode; the free version prints the first 8 (one full 5395 sheet) and Pro removes the limit. To reuse a part-used sheet, set the start position to the first empty label.

The Google Docs numbers for Avery 5395

Page setup margins top 0.563 in, bottom 0 (the sheet has 0.543 in), left 0.688 in, right 0.688 in
Table size 3 columns × 7 rows
Column widths 3.375 in, 0.375 in, 3.375 in
Minimum row height 2.333 in for label rows and 0.187 in for the spacer rows between them
Cell padding / border 0 / 0 pt

When 5395 labels print out of line in Google Docs

  • A second, empty page appears after the 5395 table: Docs keeps a paragraph after every table and it cannot be deleted. Check File › Page setup: with the bottom margin at 0 (step 2) that paragraph fits in the 0.543 in below the last row; with a 0.543 in bottom margin it does not.
  • Columns look right on screen but the 5395 labels print narrow: Docs may round widths; re-enter 3.375 in for each label column and check the page margins again.
  • If every 5395 label printed from Google Docs is off by the same amount, the printer feeds off-centre: add the measured offset to the 0.563 in top or 0.688 in side margin, or use the LabelGrid printer offset.

About the Avery 5395 sheet

Avery® 5395 (name badge labels) has 8 labels of 2 1/3″ × 3 3/8″ per US Letter sheet. The same layout is sold under other Avery codes too (5095, 5895, 8395 and 15395), so these settings work for them as well.

Common jobs for 5395: Thanksgiving labels, Christmas gift tag labels, name badge labels, name tag labels and classroom labels. Avery® 5395 is named only to identify compatible sheets; LabelGrid is not affiliated with Avery.
